Answering machine
FAMILY MAILBOX FACILITY

By this facility a caller can leave a message for the desired person in the family and each person in the family can have their own personal identification number (pass-code) for the mailbox by which only he can access only his own messages from the mailbox. Technically in this facility a group of mailboxes is created in the form of a tree, where in the root mailbox has a menu with the names of the family members associated with a digit to each of the family members to reach his/her mailbox. This type of mailbox is very useful for a company or a group of people. By dialing a single number a caller can leave a message for any desired person in the group. Each member of the group will be having a separate password hence security among the group will be maintained.

What do you require?

    • A telephone number to access the Answering Machine by dialing 17060.The telephone instrument should be with tone dialing (DTMF type) i.e. it should have ‘*’ and ‘#’ buttons.

    • Conditional call forwarding facility (In No Reply Case or Busy or Both) on your telephone. This facility is available in all new technology exchanges like OCB-283, 5ESS, AXE-10, EWSD etc. but not in E-10B Exchanges.
      Basically the following three steps are to be followed for the proper use of Answering Machine Service.

First Step
When you access your Mailbox for the first time by dialing 17060, a user tutorial is automatically activated. This tutorial will guide you to setup your main mailbox by prompting you to do the following three acts.

    • Setup your Pass-code.

    • Record your Greeting for your callers.

    • Record your Name.

Pass-code (Password)
You will always be prompted for your password before accessing your Mailbox. During the tutorial, you will be prompted to set a pass-code. This is a secret 4 to 10 digit number to ensure that no one else uses your mailbox. Choose some number that is easy for you to remember but hard for someone else to guess. If you do not wish to have pass-code dial four times Zero i.e. 0000. 

Greeting
Next, you will be asked to record a greeting for your callers when they call your mailbox. Be sure to say your name and ask your callers to leave a brief message with their name and telephone number. (eg. “You have reached the residence of Rajesh. We are unable to speak to you at present, if you would like to leave a  message for Mr. Rajesh press 1, for Mrs. Rajesh press 2, for Sonu press3” and so on).

IMPORTANT NOTE:

1. You can record the greeting in your own language and not necessarily in English.

2. The caller will hear this greeting when he is unable to contact you directly.

Name
Finally, you will be asked to record your name so that the system can call you by your name when you access your mailbox (e.g. “Hello Rajesh”).
Then the configurations of the secondary mailboxes are to be done as required by the family or the organization (procedure is same as of general mailbox).

SECOND STEP
ACTIVATION PROCEDURE FOR FORWARDING A CALL TO ANSWERING MACHINE SYSTEM: Telephone numbers from OCB-283, 5-ESS, AXE-10 & EWSD Exchanges only. Conditional Call Forwarding to Answering Machine Service:

  1. In case of NO REPLY condition: To activate, dial 122217060.

  2. In case of Phone Busy condition: To activate, dial 122017060.
    (Then your dial tone will be changed but still you can make normal calls)

    Note :

  1. Both the facilities can be activated simultaneously.

  2. Call will be forwarded to the AMS only after the 8-10 rings (No Reply Condition).

  3. To de-activate call forwarding, dial 1223 in case of No reply and 1221 in case of Busy condition. (Your dial tone will become normal)

THIRD STEP 
HOW TO DEPOSIT AND ACCESS YOUR MAILBOX:
When any person calls the number which is having the facility of family mailbox, he/she will listen to your greeting (In the form of menu e.g. “You have reached the residence of Rajesh. We are unable to speak to you at present, if you would like to leave a message for Mr. Rajesh press 1, for Mrs. Rajesh press 2, for Sonu press3” and so on. Then after pressing the desired number the caller can leave the message for the concerned person in the family.

TO ACCESS YOUR MAILBOX IN VOICE MAIL SYSTEM
The access to your mailbox depends on whether you are calling from the telephone assigned to your mailbox or another telephone.

FROM ANY TELEPHONE
A. From Phone without a mailbox · Dial 17060

The system will then prompt you to enter a mailbox number.

Enter your family mailbox number.

The system will start playing your menu, press your corresponding digit followed by *.

The system will then greet you by your name and ask you to enter your password.

Enter your password.

b. From Phone with a mailbox

    • Dial 17060 (wait until Voice Mail responds).

    • Then press * to indicate the person wishes to access a mailbox other than that assigned to the phone.

    • The system then prompt you to enter a mailbox number.

    • Enter your family mailbox number.

    • The system will start playing your menu, press your corresponding digit followed by *.

    • The system will then greet you by your name and ask you to enter your password.

    • Enter your password.

PLAYING THE MESSAGE
The Voice Mail service has two sections : un-played and saved. The un-played section is for new messages and the saved section is for messages which you have already played and kept for future review. Within each section the messages are kept in the order they are received.

After Listening to a message
Once you have played your message you can press:

    • 7 to play the message again

    • 5 to keep the message for future review

    • 3 to discard the message

If you have accidentally discarded a message you can retrieve it by immediately pressing * NOTE: Kept messages cannot be accessed until you have skipped through your un-played messages queue .Voice Mail will automatically delete played messages after 2 days and un-played after 5 days.

General Information:
Main menu:
This is the starting point for all answering machine functions. When you access your mailbox, the system will first tell you how many messages you have, you will then be prompted to press:

    • 7 to play your message.

    • 8 to change user options.

    • 9 to exit the system.

PLAYING THE MESSAGE:
The Answering Machine Service has two sections: un-played and saved. The un-played section is for new message and the saved section is for messages, which you have already played and kept for future review. Within each section, the messages are kept in the order in which they are received. The message marked as urgent will automatically be played first. If you have accidentally discarded a message, you can retrieve it immediately by pressing *.


AFTER LISTENING TO A MESSAGE:
Once you have played your message, you can press:

    • 7 to play the message again.

    • 5 to keep the message for future review.

    • 3 to discard the message.

Advantages of Answering Machine Services:

    • Always available through your personal mailbox.

    • Retrieve messages from any where at any time.

    • Speed up your communication.

    • Improves the team working.

    • Reduces the interruptions and improves time management.

    • Reduces paper work.

    • Personal Identification Number to ensure confidentiality.

Important Notes

  1. If you accidentally DISCARD a message you can retrieve it by immediately pressing * otherwise your message will be lost.

  2. After recording your name, greetings and your message you can press # to indicate to the system it is done so that you do not have to wait for the time out.

  3. Answering Machine will automatically delete un-played or kept messages which are more than 2 days old (48 hours).

  4. Maximum Number of messages that can be stored in a mailbox is 5

  5. The maximum length of one message is one minute only.

  6. No new message will be stored if the mailbox is full. So it is advisable to check your mailbox regularly.
